Refund Policy

DISCLAIMER

Travelbay or its employee or agent would never ask for any of your card information related to Number, CVV, Net Banking login, Password, OTP and so forth. Neither would they communicate for transferring funds to any personal account or to install third-party apps like Any Desk, Teamviewer etc… In case you get into any such act or any loss of your money,  Travelbay shall not be liable for any losses resulting from the customer’s involvement in fraudulent activities such as sharing card information, transferring funds to personal accounts, or third-party apps.

Travelbay Refund Policy

This Policy sets out the circumstances in which Travelbay may provide refunds to our customers in respect of a specific deal purchased. Whilst it is necessary and supportive for all parties that we have a formal refund policy, at the end of the day it will always be our intention to review each case on an individual basis and do whatever is fair and honorable.

Group Tour 

At the time of booking you choose group departure on a specific date and send us a request and pay the deposit. Travelbay will contact you within 48-72 hours (usually sooner than later) to confirm availability. It is extremely rare for a listed date to not be available unless it is peak season; however in the unlikely event that there is no availability on your chosen date we will offer you alternate departure dates. If these do not suit you, we will fully refund your payment. In case of cancellation of tour/travel services due to any unavoidable reason/s after you have made the booking and paid partial or full payment, we must be informed of the same in writing and this will be effective from the date we receive a letter/email in writing. All refunds will be payable as per the refund policy of the particular tour If the booking for the following periods period is/are cancelled, due to whatsoever reason, no refund would be made for said cancellation.
  • High Peak Season bookings (from 20th December to 15th January).
  • Festival Period Bookings (Festivals like -Diwali, Dussehra, Holi, Pushkar fair etc).

Private Tour 

Private tours do not have any specific departure dates and at the time of booking, you choose a tour and dates and send us a request no deposit is taken from our end. Travelbay will contact you within 48-72 hours (usually sooner than later) to confirm availability. Usually, normal periods do not have any availability issues unless it is peak season; however in the unlikely event that there is no availability on your chosen date we will offer you alternate departure dates. If these do not suit you, we will fully refund your payment. In case of cancellation of tour/travel services due to any unavoidable reason/s after you have made the booking and paid partial or full payment, we must be informed of the same in writing and this will be effective from the date we receive a letter/email in writing. All refunds will be payable as per the refund policy of the particular tour If the booking for the following periods period is/are cancelled, due to whatsoever reason, no refund would be made for said cancellation.

  • Festival Period Bookings (Festivals like -Diwali, Dussehra, Holi, Pushkar fair etc).

General Cancellation Policy:

Specific Terms and Conditions of the deals/packages will be applicable. For FIT and Private tours, cancellation up to 60 days will not incur any charges except any non-refundable advance paid. For 59-45 days, 25% plus any non-refundable advance paid will be charged. For 45-31 days, 50% plus any non-refundable advance paid will be charged. For 30-15 days, 75% plus any non-refundable advance paid will be charged. For less than 15 days, no refund will be given. For Groups, up to 90 days no cancellation charges except any non-refundable advance paid. For 90-60 days, 25% plus any non-refundable advance paid will be charged. For 60-30 days, 50% plus any non-refundable advance paid will be charged. For less than 30 days, no refund will be given.

Circumstances for partial or no refund:

If the cancellation request is made after the booking confirmation. If the Specific Terms and Conditions of the deal (located under ‘The Fine Print section on our webpage at the time of the offer) and the General Terms and Conditions are not read. If the customer changes their mind after purchasing the deal. If the tour operator does not honor the terms of the deal due to the failure to present confirmations/vouchers on redemption. If the customer is unable to redeem the deal before the end of the redemption period due to travel or other commitments. If the cancellation voids the voucher in accordance with the tour operator’s cancellation policy. If the experience of the deal did not meet the customer’s expectations. If the customer had a dispute with any of the service providers, hotels, or agents who are directly or indirectly associated with Travelbay.

Private Tour:

Contact Travelbay within 48-72 hours of booking for confirmation of availability. If Travelbay is unable to provide the tour on the chosen date, alternate dates will be offered or a full refund will be given. Cancellation must be informed in writing after making the booking and paid partial or full payment. Refunds will be made as per the refund policy of the particular tour. No refund will be given for cancellation during High Peak Season bookings (from 20th December to 15th January) or Festival Period Bookings (Festivals like -Diwali, Dussehra, Holi, Pushkar fair etc).

Our General Cancellation policy is as follows:

*This will not be valid on Specific Terms and Conditions of the deals/packages (located under ‘The Fine Print’ section on our webpage at the time of the offer or shared with you by us specifically at the time of booking. Please go through the same carefully at the time of booking.  For FIT (Free Independent Travellers) and Private tours our policy is as follows (This is for the normal period): Up to 60 days, no cancellation except any non-refundable advance paid 59-45 days – 25 % plus any non-refundable advance paid 45-31 days – 50 % plus any non-refundable advance paid 30-15 days – 75% plus any non-refundable advance paid Less than 15 days – No refund

For Groups:

Up to 90 days no cancellation charges except any non-refundable advance paid 90-60 days – 25 % plus any non-refundable advance paid 60-30 days – 50 % plus any non-refundable advance paid Less than 30 days – No refund Contact Travelbay within 48-72 hours of booking for confirmation of availability. If Travelbay is unable to provide the tour on the chosen date, alternate dates will be offered or a full refund will be given. Cancellation must be informed in writing after making the booking and paid partial or full payment. Refunds will be made as per the refund policy of the particular tour. No refund will be given for cancellation during High Peak Season bookings (from 20th  December to 15th January) or Festival Period Bookings (Festivals like -Diwali, Dussehra, Holi, Pushkar fair etc). Circumstances where you get partial or no refund as per our terms and conditions: 
  • Where you have contacted Travelbay after the confirmation of the booking. All refund requests must be submitted in writing and refunds will be subject to terms and conditions mentioned in each booking;
  • Where you have failed to read the Specific Terms and Conditions of the deal (located under ‘The Fine Print section on our webpage at the time of the offer), and the General Terms and Conditions;
  • If you change your mind after you have purchased a deal;
  • If the tour operator on behalf of whom we are advertising the deal does not honor the terms of the deal because you have failed to present our confirmations/voucher on redemption;
  • If the customer is unable to redeem a deal or deals before the end of the redemption period due to their travel or other commitments, no refund will be provided;
  • If you cancel a scheduled booking such that the cancellation voids the voucher in accordance with the tour operator’s cancellation policy;
  • If the experience of the deal did not meet your general expectations (for whatever reason);
  • If you have had a dispute with any of the service providers, hotels, or agents who are directly or indirectly involved in planning and operating your tour;
  • If the business does not have availability to redeem your voucher because you have not attempted to make a booking within a reasonable period (as determined by Travelbay) from the expiry date;
  • If you are unable to travel due to a medical condition or any other personal reason.

IMPORTANT NOTE:

(For the Cancellation of Individual and Group Tours):
  • Regardless of the above-mentioned cancellation tab, in case of cancellation of the tour/ travel services (due to any reason) by the client, after a booking is made with us – the service agent fee of US$ 150 per person will not be refundable.
  • Regardless of the above-mentioned cancellation tabs, in case of the cancellation of the confirmed tour/ travel services (due to any natural calamities that are unavoidable), then the following two options can be available:
Clients would be provided with a Credit Note facility for the advance amount paid by him/her and the same can be used by the client anytime in future travels for themselves or any other person related to him in his family, friends or relatives and this will not incur any fee  In case the client urges for a refund- then the cancellation charges plus US$ 150 per person service charge to cover the administrative fee, bank charges etc. would be applicable on the total tour cost and the remaining amount (after lessening the cancellation charges and service agent fee) would be refunded to the client.
  • In case the client cancels the tour after beginning /in the middle of the tour, in that case, the refund is totally at the discretion of Travelbay. For unused hotels, transport, meals, guides or any other travel service, the company would not be responsible for any refund.
  • Cancellation amount would be calculated on the total tour cost of the booking and not on the advance amount paid by the client.

Submitting a request for a refund

A request for a refund must be submitted to team@travelbay.com. All customers requesting a refund will be required to provide a detailed account as to why they are not satisfied with the quality of the goods or services provided or any other reason for cancellation.

Verification

Travelbay will verify the validity and veracity of some or all of the particulars of a request for a refund by consulting with the relevant service providers responsible for fulfilling the offer. Travelbay may also ask you (by phone or email) to provide additional information in relation to the refund request.

Travelbay may refuse a request

In circumstances where we believe that a request for a refund does not fall within the scope of this Policy, is misleading, incorrect and/or deceptive or is otherwise invalid, Travelbay may, in its absolute discretion, refuse a refund request. Travelbay is under no obligation to provide you with reasons as to why your request has been refused. Please note, any fraudulent requests will be immediately referred to the relevant authorities.

Refund to Credit Card

Any approved refund will be credited to the Credit Card used to purchase the deal. Any refund provided by Travelbay is in no way an admission of liability by or on behalf of Travelbay or the admission of any other fact in connection with any act or omission which led to the request for a refund being submitted by the customer.

Change to Policy

Travelbay may change this Policy at any time at our absolute discretion by posting the revised policy on this website. It is your responsibility to review the terms of this Policy regularly. Your continued use of our services and/or regular emails and/or including use of our website will constitute acceptance and acknowledgment of the terms of this Policy.

These warranties are in addition to any voluntary warranties provided by Travelbay. Nothing in this Refund Policy affects your rights under the Indian Consumer Law or similar legislation regarding statutory guarantees to the extent that those rights cannot be excluded.
